Collector Systems provides Registrar and Cataloging Services ranging from the Private Art Collector to Corporate Art Collections. Experienced professionals will carefully inventory, photograph, and catalogue all art on the premises. This process will include detailed condition reports of every object, the assignment of a collection number, tagging of the object to Museum standards, attribution and description of object, and the population of your database with any relevant information that can be determined by examination of the objects in conjunction with their files.

Registrarial Services

  • Inventory Services - Collector Systems provides inventory services from general to wall-to-wall. Reports with pictures can be created for insurance and appraisal needs. We create labels with barcodes for scanning and tracking locations.
  • Object Condition Reporting - Most insurance companies recommend this type of evaluation be completed yearly. The report is an evaluation of the state of preservation at the time of the examination. Additionally, we recommend such a report be completed when an object has been recently framed, conserved or changed locations.
  • Loan Coordination - Our clients frequently lend works to museums for exhibition. We are familiar with museum expectations, including packing, condition reporting, tracking and handling your collection items. We can handle all aspects of the process to allow you to share your collection safely and still ensure it comes home in the same condition as when it left your care. Collector Systems provides services and documentation for all aspects of outgoing loans, including: Review of "Loan Agreement" and "Insurance" documents, "Facilities Report" Review, coordinate crating and shipping, Object Courier Services, process press or photography inquiries, process request for loan extensions and complete return receipts when the loan is returned.

  • Research Services - Our staff provides research services in: provenance, pre-sale investigation and auction sale history.
  • Custom Accession Numbering System - Our registrars will develop a unique number representing each object in your collection. We are able to customize this number to include any previous numbering system, code or abbreviation in adherence to the numbering standards as established by American Association of Museums.
  • Archival File System Creation - All files relevant to your Art Collection will be examined and correlated to corresponding objects. Relevant information from files will be entered into your database and a "physical file system" will be developed.

  • Video Documentation - Collector Systems can create a video documentation of your collection. Some insurance companies prefer or mandate this level of documentation in case of theft or physical disaster. You can have this video uploaded to your database and accessible immediately. You will never have to worry about the loss, incompatibility or degradation of the footage.
  • Shipping Coordination- North American: Our registrars can assist you in choosing the method of transportation and advising on the type of trucking service from "Exclusive Use" to "Last on, First Off (LOFO)," that best meets your needs and budget. International: Whether buying or shipping art overseas, we can guide you through Customs Regulations to facilitate safe arrival to its destination. Collector Systems has established relationships with a variety of International Shippers, Customs Brokers, and shipping agents.

Photo - Documentation Services

  • Collector Systems Offers In-House and On-Location digital photography services. Most insurance companies and appraisers require digital photography for their reports. When using Collector Systems for your photography needs, we are able to upload directly to your account.
  • Two types of photography are required to accurately record the works in your collection. Documentary photography involves detailed snapshots of the work. These photographs are useful to appraisers, conservators and insurers. This method is essential to provide an accurate document of your collection. The second form is publication photography which is a portraiture approach and is intended to display an object in its best light for the purpose of its aesthetic consideration in publication.
  • Scanning - We provide document, photograph and media scanning and uploading.
  • Published Collections Catalogue - Collector Systems is able to create a bound printed book or catalogue in full color.
  • Location Assessment - In today's changing environment, having a photographic record of a location (i.e. home, office or studio,) is useful for insurance or a personal historical record. Many interior decorators and galleries benefit from this feature as well.
