Collector Systems was designed to be the simplest, most user-friendly art management system available. We believe you will agree after you try our demo. You may upload any document file type supported by your computer, though we recommend PDFs because they are particularly Web-friendly. We only support JPEG images at this time.
First, make sure that the image is a JPEG -- it should end with the letters .jpg. If it is not, use the Save as function on your computer to convert an existing file type to a JPEG.
We recommend that you develop an inventory numbering system to keep track of your objects. This will come in handy if you have objects with similar titles, descriptions, or makers. If you need more help, one of our registrars will be happy to give you advice or catalogue your collection for you. Please contact us to talk more about the full range of services available.
Yes. You can use the Report, Label and Export functions to use your information in other applications.
Go to the Objects page and choose Select all. Click on the Reports button and a pop-up window will open. Select the appropriate report and click Run. A PDF of your report will open. You will need Adobe Acrobat to open this, which can be downloaded for free from their website.
Simply check the appropriate box or boxes on the Objects page, then run the Reports function.
You can over-write directly into this field instead of using the drop-down menu suggestions.
Go to the dimensions tab and click View to select the dimension you want. Click on the Set to Main button. This set of dimensions will become your main dimension. You can also set your preferred image in the same way.
We do not recommend deleting an object from the account. It is useful to maintain a history of what you have owned. Instead, go to the Detail view and click Edit. In the Deaccessioned field, check the Yes box. The object will then be removed from your view, but will still be maintained on the account for historical purposes. All deaccessioned objects can be viewed using the navigation pane on the left side of the screen.
Users are people you allow to access your account. Contacts are people you consider relevant to your collection, but do not necessarily have access to your account.
These are two fields we added for your convenience. If you have information that does not belong in a field already on the system, you can place it here. This information will then be searchable. Some clients, for example, like to put previous accession or inventory numbers in these fields.
